Clinic Appointments
These terms apply to physiotherapy, acupuncture and other individual appointments at KS Health.
Cancellations
We understand that sometimes plans change. If you need to cancel or rearrange your appointment, please give at least 24 hours' notice wherever possible.
For a first late cancellation, KS Health may waive the cancellation fee where there are reasonable or unforeseen circumstances.
For subsequent cancellations made with less than 24 hours' notice, 50% of the appointment fee may be charged.
Missed Appointments
If you do not attend your appointment and have not contacted us to cancel, the full appointment fee will be charged.
Late Arrivals
If you arrive late, we will still do our best to provide your appointment within the remaining time available. Your appointment will finish at the originally scheduled time so that this does not affect the next client, and the full appointment fee will still apply.
Payment
Payment is due at the time of your appointment unless an alternative arrangement has been agreed in advance.
Patients Under 18
Clients under the age of 18 must have consent from a parent or legal guardian before treatment can take place.
A parent or legal guardian will be asked to complete the appropriate consent form and must be present with the child during their appointment.
Treatment and Consent
Your treatment will be discussed with you before it begins, including the proposed approach and any relevant risks or alternatives. You are welcome to ask questions at any time and may withdraw your consent to treatment at any stage.
Changes to Treatment
Treatment recommendations may change depending on your assessment, progress and individual circumstances. No particular treatment outcome can be guaranteed.
Clinical Pilates Fusion – Classes & Memberships
These terms apply to KS Health Clinical Pilates Fusion classes, including monthly memberships and prepaid 6-week class packages.
Your Weekly Class
Your booking gives you a place in your chosen weekly Clinical Pilates Fusion class.
If you are unable to attend your usual class, you may move your session to another available class within the same week, subject to availability.
Where possible, please give at least 24 hours' notice if you need to cancel or move your class. KS Health understands that unexpected circumstances can arise and may use discretion where appropriate.
If there is no suitable alternative class available that week, the missed session will be lost and cannot normally be carried forward.
Prepaid 6-Week Packages
A prepaid 6-week package provides 6 class sessions to be used within 8 weeks of the package start date.
Any sessions remaining after the 8-week period will normally expire.
If KS Health is unable to provide a scheduled class during this period, the expiry date may be extended where required.
Monthly Membership
Monthly membership reserves your regular weekly class place.
The membership price has been calculated to allow for up to 5 weeks each year when KS Health classes may not run, for example due to planned annual leave. Additional credits or reductions are therefore not normally provided for these planned closures.
If KS Health has to cancel a class unexpectedly outside of these planned weeks, you will be given the opportunity to attend another available class or move the affected session to another suitable week.
Monthly Membership Payments
Monthly membership can begin at any point during the month.
Your membership runs from your individual start date, with payment then due monthly from that date.
Monthly payments will continue until you give the required one month's notice to cancel or a Membership Hold has been agreed.
If a payment is unsuccessful, KS Health may contact you to arrange payment. Your regular class place may not be held if membership payments remain outstanding.
KS Health may review membership prices from time to time. You will be given at least one month's notice of any increase to your monthly membership fee.
Missed & Unused Sessions
Membership and prepaid sessions are personal to you and cannot be transferred to another person.
Missed or unused sessions cannot normally be refunded, credited or carried forward except where KS Health has cancelled a class or has agreed otherwise at its discretion.
Changing Between Payment Options
The prepaid 6-week package and monthly membership are designed as different ways of attending classes.
Regular switching between monthly membership and prepaid packages to accommodate holidays, absences or other short-term circumstances is not permitted.
KS Health reserves the right to decline repeated requests to change between payment options.
Cancelling Monthly Membership
Monthly membership requires one month's notice to cancel.
Your membership and regular class place will continue during the notice period and your normal membership payment will remain due.
Once a membership has been cancelled, your previous class place cannot be guaranteed if you later decide to return.
Membership Hold
If you need to take an extended break from classes, you may request to place your monthly membership on hold.
A £30 per month Membership Hold fee applies. This allows you to retain your regular class place while you are not attending.
Membership Holds are intended for longer periods of absence, for example due to injury, surgery, illness or other circumstances that prevent you from attending for an extended period. They are not intended for holidays or occasional missed classes.
No classes can be attended while your membership is on hold.
A Membership Hold must be agreed with KS Health in advance and can normally be held for a maximum of 2 months. Any extension beyond this is at the discretion of KS Health.
At the end of the agreed hold period, your normal monthly membership and payments will automatically resume.
Alternatively, you may cancel your membership by providing the required one month's notice. If you cancel rather than place your membership on hold, your previous class place cannot be guaranteed when you wish to return.
Health & Participation
Please let KS Health know about any relevant changes to your health, injury, pregnancy, medical condition or symptoms that may affect your ability to participate safely.
Exercises can be adapted to individual needs where appropriate. You should work within your own comfortable limits and let your instructor know if an exercise causes pain, discomfort or other unexpected symptoms.
KS Health may recommend that you seek further assessment or medical advice before continuing with a class if there are concerns about your suitability to participate safely.
Changes to These Terms
KS Health may update these Terms & Conditions from time to time. Where a change significantly affects an existing membership, reasonable notice will be provided.
